Let's break it down
I was part of the team that built multiple RFP responses in the form of interactive microsites, but the fast-paced environment and disorganized workflow exposed areas needing improvement.
Creating an RFP response requires seamless collaboration between business, technical, and design teams. However, inefficient communication, frequent back-and-forth, and repetitive work led to narrative changes and process gaps, ultimately impacting the quality of delivery.
Previous workflow was not as linear as it may look
Starting with the business team drafting specifications, designers create wireframes, which technical teams then turn into an interactive microsite—all while adapting to constant changes.
Hearing from the key players of the ecosystem to identify gaps
We conducted user interviews with 10-12 team members across different roles to gain firsthand insights into their workflow, from receiving a client request to delivering the response document.
During these sessions, participants walked us through their “day-in-the-life” journeys, sharing insights into their roles and the challenges they face in fulfilling client requests.
Through in-depth research, we uncovered 4 core pain points that became our roadmap for targeted improvements.

Manager creates a new 'Board' on the digital platform - 'RFP Studio'.
Utilizes 'WIZARD', the automation engine, to auto-populate slides based on provided details.
‘Board’ is shared with team to collaboratively customize slide content
and UI to meet client needs.
Developers convert slides into an engaging microsite for the Orals by referring to the saved HTML and CSS codes.
